Shichida Educational Institute (HK) Limited Terms and Conditions
The following are Terms and Conditions (“T&Cs”) set forth by Shichida Educational Institute (HK) Limited (“Shichida”) effective starting on 1 August 2021:
PAYMENT

Lesson fees are calculated by calendar month on a 1 or 3-months basis with the price dependent on the number of classes to be conducted in accordance to our term calendar. Lesson fees are due on the first day of the month. Fees received after the due date will be subject to a late fee of $150. When payment is delayed for more than 7 days, we reserve the right to release your child’s spot without notice.

For new students, lesson fees for the first month are due 3 days after confirmation of the enrolment. Should we fail to receive the payment within this period, we reserve the right to release your child’s spot without notice.

A $250 registration fee is charged for all new and re-enrolled students for administrative purpose.

Paid fees, including lesson fees and registration fee, are non-refundable and non-transferable.
ABSENCE
-
HOLIDAY LEAVE: Students will be offered ONE make-up lesson each month.

ILLNESS: Students who are sick are advised to stay home to rest. One make-up lesson will be offered for each absence that is supported with a doctor’s note. If a doctor’s note is unavailable, parents have the choice for the absence to be taken as a holiday leave.

SUMMER LEAVE (JULY AND AUGUST ONLY): During the months of July and August, parents can apply for summer leaves for up to 4 classes collectively. Lesson fees for the summer leaves will be waived. Written application of summer leave 2 weeks in advance to the first date of leave is required.
MAKE-UP LESSONS

Make-up lessons will only be offered to students when the centre is notified of the student’s absence due to HOLIDAY LEAVE or ILLNESS at least 2 HOURS BEFORE the commencement of the lesson via e-mail or Whatsapp. Make-up lessons will not be arranged for absences without prior notice. The make-up lesson must be taken within one month of the absence or it will be forfeited. For students who withdraw from the program, the make-up lesson must be arranged and taken within one week subsequent to the last paid class.

Make-up lessons will be offered in a class other than the one that the student is enrolled in and is subject to availability. Each week’s lesson starts on Saturday and ends on Friday. Depending on the schedule, the make-up lesson may be a repeat of a lesson the student has attended and may not be an instructor of your choice. Please contact our centre to schedule make-up lessons as early as you can. We cannot guarantee that the timing of our make-up lessons fit your child’s schedule, so you may need to rearrange your child’s activities to accommodate.

Make-up lessons are non-transferable, non-refundable and forfeited once a child withdraws.

A make-up lesson can only be rescheduled ONCE when the centre is notified 2 hours BEFORE the commencement of the lesson. If a child does not show up for the scheduled make-up lesson, the make-up lesson is forfeited.
WITHDRAWAL

Written notification of withdrawal is required on or before the 23rd day of the month prior to class withdrawal.
CLASS CANCELLATIONS AND RELATED CHANGES

Should there be teacher absences, we will be responsible for arranging a substitute teacher without prior notice and lessons will be conducted as scheduled.

If a lesson is cancelled due to teacher absence or centre events, and a substitute teacher cannot be arranged, the lesson can either be rescheduled to another class (upon request and subject to availability), or the lesson can be used as a credit towards the payment of the next invoice. Should the student choose to withdraw from the program at the time of the next invoice, a refund of the lesson will be made.
PUBLIC HOLIDAYS AND ENFORCED CLOSURES, INCLUDING ADVERSE WEATHER CONDITIONS

The centres are closed on all public holidays.

The centres will be operating as usual when Red rainstorm signal or typhoon signal number 3 is hoisted. It is at the discretion of the parents/care-givers as to whether it is deemed safe for the student to travel to and from the centres.

Classes will be cancelled from the moment when (i) the Hong Kong Observatory makes an announcement as to the estimated time when Typhoon Warning Signal No.8 will be in force and/or (ii) Typhoon Warning Signal No.8 or the Black Rainstorm Warning is in force. If the warnings are lowered on or before 2:30pm, classes scheduled to start 2 hours after the warnings are lowered or removed will continue to resume. If the warnings are lowered after 2:30pm, all classes will be cancelled.

When the Government issues "extreme conditions" announcement following a typhoon, if the “extreme conditions” warning is lowered on or before 11am, classes scheduled to start 4 hours after the warnings are lowered or removed will continue to resume. If the warnings are lowered after 11am, all classes will be cancelled for the remainder of the day.

Classes that are disrupted or cancelled due to adverse weather conditions, enforced closures by the Government or any other special circumstances will not be refunded, postponed or rescheduled. This includes make-up classes scheduled for that day and leave of absence taken on that day for any reason.
WAITING LIST

Students are accepted on a first come first served basis. Priority will be given to existing students.

Once a wait‐listed child is offered a spot for the chosen timeslot and decides not to take it, the child will be removed from the waiting list for that spot.
TERM END REPORT
-
End of term reports are issued to students on the last week of the term upon attendance of 20 lessons or more.
-
End of term reports are issued to students from Explorer I (1 y.o.) classes and above.
PERSONAL DATA

We will use your personal data (including name, telephone number, fax number, email and mailing addresses) for the purpose of providing you with information about any events, programs, news and opinion surveys organized by us.

The personal data being collected via the present means, other than being utilized as the purposes above mentioned, will not be sold, traded or rented in any forms through any means to any other parties.
GENERAL

Shichida reserves the right to take photos, videos or other kinds of recordings of children and parents/care‐givers within our premises and during classes conducted online for training or promotional purposes, unless otherwise informed by you in writing.

All materials used in class or given as homework may not be copied, reproduced or distributed without the written consent of Shichida.

Solicitation or making private arrangements for tuition with instructors who are employed or contracted by Shichida is prohibited.

Classrooms are monitored via CCTV for safety and training purposes.

Children age 4 years or below must be accompanied by one parent/care-giver during lessons. Only one parent / care-giver can accompany a child into the classroom.

Shichida Educational Institute (HK) Limited and their teachers, administrators, directors, and employees will not be responsible or liable for student or caregiver’s personal injuries, accidents, losses or any other damages occurred and incurred at any time on our premises.

Shichida Educational Institute (HK) Limited reserves the right to make the final decision in the event of any dispute.
